In the system, a part's on-hand quantity can be affected through several methods: receiving parts on a purchase order, adding parts to a document, making manual adjustments on the part record, transferring inventory between warehouses, using the replenishment program, copying warehouse data, and crediting parts on a document. This document provides a breakdown of each of the diffrenet methods.
1. Receiving Parts on a Purchase Order (PO)
When a part is received on a PO, the system will increase the on-hand quantity of the part if it is received in with a positive quantity. Conversely, it will decrease the on-hand quantity if the part is received in with a negative quantity, for example for a credit PO.
Note: On the PO Parts Receival panel, you can adjust the quantity of parts you would like receive. This is helpful in scenarios where some but not all parts have arrived yet.
2. Adding Parts to a Document
When a part is added to any document (e.g., work order or sales order), the on-hand quantity of that part is reduced by the quantity specified.
3. Manual Adjustments on the Part Record
The user can manually adjust the on-hand quantity directly on the part record. This adjustment can either increase or decrease the on-hand quantity, depending on the user’s input in the "On-Hand Qty" field.
4. Warehouse to Warehouse Transfers
Using the "Transfers" program in the Parts module, the system allows the transfer of inventory from one warehouse to another. This re-allocates the on-hand quantity between the source and destination warehouses.
5. Replenishment Program
The "Replenishment" program can automatically adjust on-hand quantities. If the replenishment criteria are met, the system electronically transfers inventory from a supply warehouse to the warehouse being replenished.
6. Copy Warehouse Program
The "Copy Warehouse" program allows users to copy inventory from a source warehouse to a destination warehouse. If the option to "Transfer On Hand Qty" is selected, the on-hand quantity will be adjusted in both the source and destination warehouses during the copy process.
7. Crediting a Part on a Document
If a part is credited on a document (e.g., a return or credit memo), the on-hand quantity will increase since the part is effectively being returned to inventory. This would require the part to be added at a negative quantity to increase inventory.
8. Through the Inventory Counts Program
If the user conducts an inventory count and makes adjustments to the part count, then posts the inventory count, the system will automatically adjust the on-hand quantity of the parts accordingly. This ensures that the recorded inventory matches the physical count.
