How do I build my own reports using OData?

Softbase allows you to build custom reports using Microsoft Excel, Microsoft Power BI, and other reporting tools that support OData. You can retrieve data, select the columns you need, and apply filters to keep your reports focused and efficient.

Evolution users should use the connection URL below. 

Set Up Data Access Permissions

In Evolution, your access to reporting data is controlled by the role assigned to your user.

An administrator must enable the appropriate permissions in the Data Access folder within that role. You can retrieve only the data points your user has permission to access.

When your reporting tool requests authentication, select Basic and enter your Softbase username and password.

Use this service URL when connecting from Excel, Power BI, or another OData reporting tool:

https://connect.softbasesystems.com/dataaccess/YOUR_TENANT/

Replace YOUR_TENANT with the tenant name provided by Softbase. This identifies your company in the connection.

To retrieve a specific data point, add its name after the tenant name. For example, to retrieve GL data:

https://connect.softbasesystems.com/dataaccess/YOUR_TENANT/GL

Filter and Select Data

Retrieve only the rows and columns your report needs. This reduces the amount of data transferred and helps reports refresh efficiently.

The examples below use the Evolution URL. Legacy users can apply the same query options to their existing connection URLs.

Filter by Account

To retrieve GL records for account 1001:

https://connect.softbasesystems.com/dataaccess/YOUR_TENANT/GL?$filter=AccountNo eq 1001

If the field is defined as text, enclose its value in single quotes:

https://connect.softbasesystems.com/dataaccess/YOUR_TENANT/GL?$filter=AccountNo eq '1001'

Select Specific Columns

To retrieve only AccountNo, Month, Year, and MTD:

https://connect.softbasesystems.com/dataaccess/YOUR_TENANT/GL?$select=AccountNo,Month,Year,MTD

Combine Filtering and Column Selection

Use & to combine query options:

Limit Results While Building a Report

Use $top to retrieve a small number of records while testing:
